Job Title: Office Administrator

Location: Columbus, OH

Job Status: Full Time, Exempt

Reports To: Chief Executive Officer

Function: Administrative Support

 

Summary

The Office Administrator ensures efficient operations of BGCCO’s administrative office and functions. Provides support to the CEO and Senior Leadership Team, customer service, scheduling, administrative office organization, correspondence, and reporting. This position will be responsible for confidential and time sensitive materials.

 

Responsibilities

· Coordinate office procedures and continuously improve administrative process

· Welcome and assist guests to the administrative office

· Manage Senior Leadership Team calendars and communications

· Organize and schedule meetings and appointments for Senior Leadership

· Coordinate scheduling, booking rooms, agenda and documents preparation and take minutes at key meetings including meetings of the Board of Directors, Board Committees and Advisory Boards

· Coordinate and book travel arrangements for Senior Leadership

· Draft and issue communications on behalf of Senior Leadership

· Assist in the preparation of regularly scheduled reports

· Answer and direct email, phone and in-person inquiries

· Receive, sort, and distribute mail

· Develop and maintain highly organized paper and electronic filing systems

· Maintain up-to-date contact list for key stakeholders

· Order and take stock of supplies including office and program supplies

· Support Finance/Human Resources with coordinating background checks, staff onboarding and claims response

· Assist CFO with invoice processing and filing

· Support payroll and benefits administration

· Coordinate special projects or tasks delegated by the CEO

· Carry out general administrative duties including filing, copying, scanning, mailing, etc.

· Cover the reception desk when required

· Performs other duties as assigned

· Ability to maintain strict confidentiality

· Highly organized, detail-oriented and deadline driven
